Position Overview

 

We are seeking a reliable and detail-oriented Tax Administrator to support our tax team during the busy tax season. This remote role is ideal for someone who is organized, professional, and comfortable assisting with client onboarding, document preparation, invoicing, and administrative tax office operations.

The Tax Administrator will play a key role in ensuring client files are complete, communications are handled efficiently, and tax preparers have the support needed to deliver timely service.

 

Responsibilities

As a Tax Administrator, you will:

  • Assist with organizing and preparing client documentation for tax return preparation
  • Conduct client intake interviews to gather basic tax and personal information
  • Ensure all required forms and supporting documents are collected and uploaded properly
  • Prepare and send invoices, payment reminders, and client billing communications
  • Mail tax documents, engagement letters, and other client correspondence securely and on time
  • Manage client portal uploads and assist clients with document submission
  • Maintain accurate records of client interactions, files, and administrative tasks
  • Provide general administrative support to the tax preparation team
  • Communicate with clients via phone, email, and secure messaging
  • Support office workflow by completing other related tasks as assigned

 

Requirements

Qualified candidates must meet the following:

  • High school diploma or GED (required)
  • Strong organizational skills and attention to detail

  • Ability to read, write, and speak English fluently (required)
  • Prior administrative, office support, or customer service experience (preferred)

No credentials are required for this role. On-the-job training will be provided, making this a great position for candidates with 0–2 years of experience who are eager to learn tax preparation skills.

 

Responsibilities

As a Tax Associate, you will:

  • Assist with the preparation of federal and state tax returns under supervision
  • Gather, organize, and input client tax documents into tax software

This fully remote role is ideal for a credentialed tax professional who has strong technical skills, leadership ability, and a commitment to delivering excellent client service during peak filing months.

 

The Tax Manager will oversee the preparation and review of tax returns, support tax staff, and ensure compliance with all IRS and state requirements.

 

Key Responsibilities

  • Manage the preparation and review of federal and state tax returns for individuals and business entities
  • Provide tax compliance and planning guidance to clients
  • Ensure timely and accurate filings in accordance with IRS regulations and professional standards
  • Supervise and support preparers and junior staff throughout the tax season
  • Communicate with clients to gather documentation, explain tax results, and answer questions

    • 2+ years of paid professional tax preparation experience
    • Strong knowledge of federal and state tax regulations
    • Ability to manage multiple deadlines and high-volume workloads during peak season
    • Excellent communication, organization, and client service skills
    • Proficiency with tax preparation software and remote collaboration tools

Preferred Qualifications

  • Prior experience reviewing returns and managing tax staff
  • Experience working with small business returns (S corporations, partnerships, LLCs)
